Position Overview
We are seeking an organized and detail-oriented Office Administrator to join our growing team. This is a permanent, full-time position offering competitive compensation of $38.50 per hour for 35 hours per week. The ideal candidate will play a crucial role in ensuring the smooth operation of our office environment by managing administrative tasks, coordinating office services, and supporting our accounting professionals.
Location and Work Environment
The position is located in Calgary, AB, in our office at T3J 1W5. This is an on-site position requiring presence at our Calgary office during regular business hours. Key Responsibilities
The Office Administrator will be responsible for implementing and reviewing new administrative procedures to improve efficiency. You will delegate work to office support staff, establish work priorities, and ensure that procedures are properly followed and deadlines are consistently met. This position requires strong organizational skills and the ability to manage multiple tasks simultaneously.
Administrative Coordination
You will carry out various administrative activities of the establishment and coordinate office services including accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services. Your role will be central to ensuring that all office operations run smoothly and efficiently.
Budget and Financial Support
The Office Administrator will assist in the preparation of the operating budget and maintain inventory and budgetary controls. This includes tracking expenses, ordering supplies within budget constraints, and ensuring that all financial documentation is accurately maintained and organized for review by management.
Reporting and Documentation
A key responsibility will be assembling data and preparing periodic and special reports, manuals, and correspondence. You will be expected to create clear, concise, and professional documentation that effectively communicates information to internal stakeholders and clients as needed.
Data Management
This position requires performing accurate data entry tasks to maintain up-to-date records and databases. You will be responsible for inputting, updating, and retrieving information efficiently while maintaining data integrity and confidentiality at all times.
Office Procedures Oversight
The Office Administrator will oversee and coordinate office administrative procedures to ensure compliance with company policies and industry best practices. You will identify areas for improvement in administrative systems and implement solutions to enhance operational efficiency.
Required Skills and Experience
To be successful in this role, candidates must possess proficiency in MS Office Suite including Word, Excel, and PowerPoint, as well as MS Outlook for email and calendar management. Experience with database software and Google Drive applications is also required for this position.
Technical Proficiency
Strong computer skills are essential, including familiarity with office automation tools and office equipment such as printers, scanners, and multi-function devices. The ability to quickly learn new software and adapt to changing technology is highly valued in this role.
Organizational Abilities
Excellent organizational skills with the ability to manage multiple priorities and meet deadlines consistently are crucial for this position. You must be able to maintain detailed records, manage files effectively, and implement systems that improve office efficiency.
Communication Skills
Strong written and verbal communication skills are required to interact effectively with colleagues, clients, and vendors. The ability to communicate clearly and professionally in both official languages of Canada (English and French) would be considered an asset.
Compensation and Benefits
This position offers a competitive hourly wage of $38.50 for 35 hours per week, totaling approximately $70,720 per year before deductions.
