Job Summary
The safeguarding children’s team is incredibly excited to advertise the post of administrator support for the children in care team. This is a unique opportunity to make a real difference in the lives of vulnerable children and young people. In this role, you will provide administrative support to the children in care team which includes Consultant Paediatricians and Nurses.
You will work alongside the team to ensure that the health needs of children in care are met. This position offers the chance to work with other agencies to achieve the best health outcomes for children in care, making it a truly rewarding role for someone who wants to make a positive impact.
The ideal candidate will be organized, efficient, and have excellent communication skills, as you will be dealing with sensitive information and working with various professionals including social workers, foster carers, and healthcare professionals.
Main Duties of the Job
Your primary responsibilities will include supporting the team administrator in providing an efficient administrative support service to the Children in Care team to meet internal and external standards and performance indicators.
You will provide crucial support to Children in Care clinicians by managing clinics and diaries, organizing meetings, and making best use of available resources. This organizational support is vital for the smooth operation of the team.
As part of your role, you will act as a point of contact for social workers, foster carers, and third parties such as other clinicians, services, GPs, and health visitors. You will resolve queries, respond to requests for information, and notify third parties of information as required by clinicians.
You will work as part of a team that partners with the Local Authority to support the health needs of Children in Care (CIC) and Young People. This collaborative approach ensures comprehensive care for vulnerable children.
A key responsibility will be supporting the Team Administrator to manage health assessment appointments for Children in Care, ensuring all necessary documentation is in place and appointments are scheduled efficiently.
You will assist with the smooth running of nominated clinics by managing and maximizing capacity, handling cancellations and rescheduling, and arranging additional clinics to ensure the Trust meets its statutory responsibilities for Children in Care.
The role involves supporting the Team Administrator with requests internally and externally to gather information in readiness for children’s health assessments, requiring attention to detail and efficient information management.
You will provide a high-quality clinical typing service, including clinic instructions/outcomes, minutes from meetings, and populating information into report templates. This documentation is crucial for maintaining accurate health records.
Following typing tasks, you will be responsible for actioning tasks arising from typing, including updating systems, outcome codes, and referrals to other agencies, ensuring a seamless workflow.

Person Specification
Essential Criteria
You must hold an NVQ 3 Certificate in Business Administration or have equivalent experience. This qualification or experience demonstrates your administrative capabilities and understanding of business processes.
You should have an IT qualification such as ECDL or relevant experience working with various computer systems. In today’s digital workplace, strong IT skills are essential for efficient administrative work.
Key skills in literacy and numeracy at level 2, O level grade C or above, or GCSE Maths and English Grade 4-9 are required. These foundational skills are crucial for accurate record-keeping and effective communication.
Experience of working in an NHS or healthcare environment is essential. This familiarity with healthcare settings and processes will help you quickly adapt to the specific requirements of this role.
You must be experienced in using Microsoft Office packages, including Word, Excel, and Outlook. These tools are fundamental to the administrative tasks you will perform daily.
Desirable Criteria
Having an RSA 3 in Typing or Word Processing, or equivalent experience, would be advantageous. This would enhance your ability to provide high-quality documentation support.
An audio typing qualification would also be beneficial, as it would allow you to contribute more effectively to the team’s documentation needs.
Experience in working with safeguarding children would be highly desirable, as this would provide you with valuable context for the sensitive nature of the information you’ll be handling.
Knowledge of Careflow system and EMIS system would be advantageous, as these are commonly used in healthcare settings for patient record management.
Understanding of medical terminology would also be beneficial, helping you more easily comprehend and document clinical information.
